- Acceptance criteria and allowed variation
Reference controlled drawings or specification revisions rather than marketing-page screenshots.
3. List required evidence
- Material identity and traceability documents
- Applicable environmental or durability reports
- Artwork approval and production sample
- Inspection report, packing list, and change record
Confirm that each report covers the exact material and construction being purchased. A logo on a document is not proof of applicability.
4. Align commercial terms
- Sample fee, MOQ, unit price breaks, tooling, and artwork cost
- Payment milestones, currency, validity, and tax treatment
- Sample, production, inspection, and shipping schedule
- Trade terms, destination, freight, insurance, and document responsibilities
5. Control OEM artwork
Specify logo source files, color references, placement, size, barcode ownership, serial fields, language versions, warnings, and approval authority. Record who may change an artwork file and how the buyer will approve a revision.
6. Make inspection executable
Define the sampling plan, critical defects, major defects, minor defects, measurement method, functional sample, packing checks, photo rules, report format, and release authority. Never ask inspectors to photograph valid secret material; production units should be blank.
